Counseling Coordinator
The Counseling Operations and Services under the Psychological Services Unit, is responsible for managing the intake and initial coordination of counseling services at In Touch.
The Counseling Coordinator plays a key role in processing intake requests, coordinating initial appointments, matching clients with appropriate counselors, and supporting stakeholder satisfaction ensuring a smooth and responsive entry point to InTouch’s mental health services.
A. Intake & Appointments Coordination (50%)
- Ensure high-quality and responsive coordination of counseling intakes.
- Receive and process intake reports
- Conduct initial intake interviews.
- For counseling advocacy clients, facilitate screening and appointment setting
- Coordinate session details between clients and counselors, including reminders, feedback, and follow-up communication.
- Monitor attendance, and professionally manage no-shows, cancellations, and rescheduling requests.
- Facilitate client transfers, referrals, or case terminations under the guidance of the supervision team.
- Conduct end-of-day appointment checks to ensure all updates and counselor handovers are completed.
- Prepare and complete counselor handovers in advance of weekends, especially for Saturday sessions.
B. Client-Counselor Matching & Prioritization (15%)
- Match clients with counselors ethically and effectively, taking into account:
- Presenting concern or clinical need
- Counselor modality, language, availability, and expertise
- Client preferences, risk level, and accessibility
- Maintain and regularly update counselor profiles used for matching.
- Exercise discretion and clinical judgment in handling high-risk, trauma-related, or sensitive cases.
- Coordinate closely with Clinical Supervisors and Leads on escalations, continuity of care, and reassignments.
- Ensure matching decisions support optimal outcomes and a strong
counselor-client fit.
C. Account Management (25%)
- Serve as the main point of contact (POC) for assigned accounts, ensuring seamless coordination from intake through appointment setting.
- Implement and adhere to account-specific service protocols for
corporate-sponsored, self-pay, subsidized, or pro bono clients. - Manage inquiries and scheduling for Resource Development accounts
- Monitor compliance with service delivery timelines and documentation standards in accordance with SLAs.
- Coordinate with the EAP Team to fulfill contract deliverables, address service adjustments, and manage usage volume.
- Investigate and escalate service issues as needed, ensuring appropriate documentation.
- Represent the program during client meetings, account discussions, and internal briefings.
- Support operational excellence through consistent service tracking and proactive problem-solving.
D. Service & Resource Management Support (5%)
- Provide administrative and coordination support for service delivery and program-level initiatives.
- Assist in reviewing, updating, and maintaining service manuals, SOPs, and internal guidelines.
- Identify and communicate emerging resource needs based on client trends and service demand.
- Participate in ad hoc projects or process improvements related to counseling service delivery.
E. General Administration and Organizational Participation (5%)
- Submit accurate, complete, and timely records and reports, particularly for month-end processing.
- Maintain strict compliance with the Data Privacy Act and confidentiality standards.
- Prepare client-facing documents (e.g.certificates of attendance, etc.)
- Participate in rotational tasks such as intern supervision, staff orientation, and training support.
- Adhere to the organizational dress code and help promote a respectful, collaborative workplace culture.
- Attend and assist in organizational events and activities as scheduled.
- Perform other related tasks or special assignments as requested by the management or supervision team.
Educational Background
- Bachelor’s degree in Psychology, Behavioral Science, Social Work, or a related field required.
- Exposure to counseling or psychosocial settings preferred, but not required
Skills and Experience
- Preferably at least 1–2 years of experience in case management, intake coordination, program support, HR wellness programs, or client-facing roles
- Strong written and verbal communication skills in English and Filipino.
- Proficiency in scheduling tools, email correspondence, and basic reporting (e.g., Google Suite, Excel).
- Background in working with confidential or sensitive client data.
- Familiarity with mental health service delivery, counseling processes, or EAP systems is preferred

Resource Development Head
The Resource Development Manager leads the growth and sustainability strategies for In Touch by overseeing its business development, marketing, and client engagement efforts across the Employee Assistance Program (EAP), Employee Wellness Program (EWP), and Self-Paying Program (SFP). The role involves strategic planning, branding, financial oversight, and coordination with internal teams to ensure consistent delivery of In Touch’s value proposition across sectors.
A. Strategic Marketing & Brand Positioning
- Design and implement comprehensive marketing strategies to promote ITCS in the mental health industry.
- Develop corporate brand identity and unique selling propositions for each service line.
- Ensure consistent messaging across platforms and materials aligned with company face and branding (e.g. #BecauseYourWellbeingMatters).
- Monitor industry trends and competitors; provide strategic recommendations.
- Supervise content direction and online presence in collaboration with Communications team.
- Produce marketing kits, slide decks, and campaign materials for business roadshows and proposals.
B. Business Development
- Develop growth plans for EAP, EWP, and SFP services, including reviewing possible tiered pricing models.
- Identify new market segments and revenue opportunities in corporate, school, NGO, community, and other relevant sectors.
- Build and maintain a sales pipeline; track and report on metrics.
- Conduct market research to inform outreach, messaging, and pricing strategies.
C. Client and Account Management
- Develop and maintain strong relationships with current and prospective clients.
- Monitor client needs and align with ITCS service offerings.
- Facilitate onboarding and coordinate implementation support.
- Monitor and improve service quality in collaboration with delivery units.
- Recommend process improvements to enhance client satisfaction and retention.
D. Financial Monitoring and Resource Allocation
- Contribute to income projections based on budgets and targets.
- Monitor service line revenue performance and identify risks or growth opportunities.
- Support financial planning and resource allocation decisions.
E. Team Guidance and Reporting
- Guide and support Resource Development team members, consultants, or interns.
- Submit periodic reports on metrics, progress, and outcomes.
- Share learnings and updates with ITCS leadership.
F. External Engagement and Partnerships
- Represent ITCS in public forums, industry events, and stakeholder meetings as relevant to the function.
- Draft partnership proposals and work with Advocacy team for grants and CSR.
- Collaborate with Communications on impact storytelling and external campaigns.
- Bachelor’s degree in Marketing, Development Studies, Psychology, Business, or related field.
- At least 10 years in marketing, business development, or partnerships.
- Experience managing clients, building partnerships, and leading campaigns.
- Familiarity with EAP/EWP services and mental health sector dynamics is an advantage.

Volunteer Program Lead
Within the Advocacy Outreach Program, the Volunteer Program builds a pool of volunteers with each volunteer actively supporting selected In Touch programs and initiatives, as well as being a Mental Health advocate during and beyond their participation in the program.
The Volunteer Program Lead role is a full-time consultant position mainly responsible for the management of In Touch’s volunteer community.
The Volunteer Program Lead’s services shall include but not be limited to:
- Promote In Touch Volunteer Program and recruit volunteers
- Manage Volunteer sign-up, orientation, and integration to the organization’s community
- Organize training or capacity building activities for volunteers
- Liaise with volunteers to link them with In Touch program/project managers
- Liaise with In Touch program/project managers to provide opportunities for volunteers to
take part in their initiatives - Ensure and monitor the engagement of volunteers in terms of the following:

Finance Staff
The Finance Staff role is mainly responsible for ensuring that counseling services provided by In Touch to its clients are appropriately captured in our system to facilitate counselor payments, monitor client collections, and gather data to support the company in achieving business goals.
The Finance Staff’s services shall include but not be limited to:
- Billing and collection
- Direct Clients (self-pay and subsidized)
- Send daily payment notifications to clients with upcoming bookings
- Summarize and forward clients paying via credit card or requesting manual invoices for invoicing
- Monitor and record all client payments
- Update list of all unpaid counseling sessions and send weekly collection emails to clients
- Perform other collection efforts such as through phone calls, text messages, or chats
- Address standard client billing and payment queries; Escalate any other client issues to Accounting Manager, as appropriate
- Corporate Clients
- Prepare and send out billing statements
- Send payment reminders to clients

Accounting Staff
The Accounting Assistant role is mainly responsible for day-to-day tasks in accounting department. Ensuring that the financial transactions are properly updated and recorded.
The Accounting Staff’s services shall include but not be limited to:
- Bookkeeping
- Data entry of financial transactions in accounting system (Quickbooks)
- Record cash invoice/receipts and ensure accuracy and reliability of data entry in the cash receipt journal
- Update and maintain book of accounts
- Accounts Receivable Functions
- Monitor and reconcile cash, bank accounts, and accounts receivable
- Process corporate invoice processing
- Ensure timely collection of outstanding debts
- Accounts Payable Functions

Psychiatrist Consultant
The consultant will be directed by the Head of Counseling Excellence and Head of Clinical Operations. The main responsibility of the consultant is to provide expert therapy or counseling services to assigned ITCS clients, adhering to the highest ethical and professional standards of the mental health profession and in alignment with all internal and external policy requirements.
The Consultants services shall include but not be limited to:
- Provision of expert counseling services. This includes but is not limited to:
- Evaluate clients’ emotional/mental condition, design and implement treatment plans;
- Modify treatment activities and approaches, and refer to other counselors as appropriate;
- Meet with families and other interested parties to assist them in understanding, dealing with, and supporting clients and/or to exchange necessary information during the treatment process;
- Prepare and maintain all required case records and reports as per ITCS policies, including but not limited to the Data Privacy Policy;
- Maintain confidentiality of client information and records;
- Coordinate with Psychiatrist for clients’ medication and other issues as needed;
- Act as client advocate to coordinate recommended services; and
- Provide crisis intervention consultations.
- Provision of expert group counseling services (including workshops, seminars, talks, briefings, support groups)
- Participation in ITCS team and clinical activities including, but not limited to:
- Attending mandatory individual clinical supervision sessions with the Clinical Supervisor as scheduled together with the Consultant depending on counselor level or as needed;
- Attending mandatory monthly small group meetings, including plenary. Attendance at these meetings precedes other professional commitments such as workshops or counseling appointments except in emergencies. Inability to attend a meeting to be arranged with the Clinical Supervisor;
- Learning about new developments in their field by reading professional literature, attending courses and seminars, and establishing and maintaining contact with pertinent professional organizations and agencies;
- The consultant understands that all ITCS activities are community service. ITCS requests that in addition to receiving compensation for some services as agreed to, consultants will contribute some services on a voluntary basis of ___ hours a month (consultant to identify the volunteer hours)
- Provision of expert counseling services. This includes but is not limited to:
- Passed the written and oral exams for the Diplomate of the Specialty Board of Philippine Psychiatry, or a resident doctor working towards diplomate
- minimum of 3 years experience in counseling / therapy practice

Admin Operations Associate
Admin Operations Associate is responsible for addressing client and staff questions providing an overall welcoming environment to everyone. Serves as the first point of contact for the company. Duties include administrative support to different departments, welcome guests and greet people who visit the business.
Coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Ensure the execution of all admin tasks with quality. Represent the company with utmost professionalism and careful manner.
The Admin Operations Associate services shall include but not be limited to:
- Protect clients privacy and confidentiality at all times.
